We, consent to the participation of our child/the child under our custody in the High School Summer Program (hereinafter referred to as the “Program”) of the Center for Hellenic Studies, Harvard University (hereinafter referred to as “CHS Greece” and “Center”), which is implemented in collaboration with Harvard’s Committee on Degrees in Social Studies, and with the support of Minda de Gunzburg Center for European Studies, Harvard University, and the Department of the Classics, Harvard University, and to our child’s/the child’s presence in scheduled meetings, research activities, and events taking place at the CHS Greece Iatrou building in Nafplio and/or in other places where the Program takes place, and/or online meetings held in the context of the Program.
In the framework of all online and/or in-person activities organized, co-organized, and/or supported by the CHS Greece, the Center and/or its collaborating institutions collect and process personal data of associates, affiliates, interns, researchers, coordinators, speakers, and other participants, who cooperate with the Center in conferences, workshops, programs, events, and other activities for the fulfilment of its purposes.
In particular, depending on the occasion our records may include information, such as (but not limited to): first and last name, date of birth, e-mail address, home address, telephone, emergency contacts, short CV, school grades, abstract of presentation, video, audio, and photographic material.
The information (e.g. application, personal data, publicity, and conditions of participation form, CV) is deleted 18 months after the application for those who are not selected for the Program, and 5 years after for the actual program-participants, unless their retention is required by law.
We understand that CHS Greece has the right to photograph, video/audio-record, and interview (hereinafter the “Regordings”) our child/the child under our custody during the Program -which might be implemented either in person or online- and to use, according to its judgement, whole or parts of the Recordings of our child/the child; his/her performance, image, name, face, voice, and other characteristics (his/her overall presence during the Program), for the evaluation, improvement, and/or promotion of the Program and the Center in general, as well as to transfer these rights to third parties.
We acknowledge that the Recordings are within the intellectual property of CHS Greece and are each time protected by the national, European and international legal provisions in force. We also acknowledge that the Center will have the right to make, copy, edit, publish, distribute, play, show, perform, display and otherwise use and make available the Recordings and any works that may be derived from the Recordings, by any means and in any media now existing or hereafter invented, and to authorize others to do the same (e.g. co-organizers of the activity). These Recordings could be used in digital media formats including CHS Greece websites, social media, YouTube and other video platforms, and in printed material of the Center. We understand that the online use of the Recordings is inevitably subject to international data transfer.
CHS Greece makes every effort but cannot exclude or be liable for the republication in any way whatsoever of the Recordings, in their entirety or any part of them, that may be illegally made by any third party, by downloading them from the internet. We also recognize that although the Recordings are intended for digital and/or printed use by CHS Greece, there is no guarantee by CHS Greece and no claim on our side that there will be total or partial appearance of that material in electronic or printed means of CHS Greece.
We agree that CHS Greece will be the exclusive owner of the intellectual property and all other rights of images, video and/or audio recordings, as well as every other media, in which our child/child under our custody appears. We consent that neither we nor our child/child under our custody will be entitled to any use or compensation, now or in the future, in connection with these rights.
We also understand that eventual research outcomes (essays, presentations, etc.) of our child/the child under our custody, as part of the Program, are within the intellectual property of their author, who retains copyright on his/her work and any other intellectual property right generated by its copyrights and nothing in this document will restrict him/her from publishing it as he/she sees fit, without prejudice to the right of CHS Greece to freely use them within an education and research scope (reproduction, presentation to the public, digital distribution in online format and via any media).
We understand that the Center’s employees and associates have the right to access and process the above data, as well as individuals/companies that support their operation (accounting office, maintenance of IT systems and applications), for the sole purpose of dealing with the object of their work.
The rights provided above are indefinite and irrevocable and we understand that the CHS Greece will act in accordance with this form. We declare that we have no claim or requirements from Center resulting from or in connection with the above. This parental consent form is governed by Greek law and is subject to the jurisdiction of the courts of Athens, Greece.
CHS Greece takes all necessary measures to ensure the security of the personal data of the participants of its activities.
With respect to your child’s/the child’s under your custody personal data, you have the following rights:
- Right of data access: The right to know if data is being processed, how, and for what purpose.
- Right of data rectification: The right to ask for a rectification of your child’s/the child’s personal data if it is inaccurate or incomplete.
- Right of data deletion (“right to be forgotten”): The right to request the deletion or removal of personal data under certain conditions.
- Right to restriction of data processing: The right to request the restriction of the processing of personal data when certain conditions are met.
- Right to data portability: Your right to ask to send your child’s/the child’s information to a third party (e.g. another support center) when certain conditions are met.
- Right to object to processing: The right to object to the processing of personal data. The Center will no longer submit data for processing unless there are legitimate reasons for processing or for the foundation, exercise or support of legal claims.
- When you submit a request by exercising one of the above rights, the Center must respond within one month, or later, but explain the reasons for the delay.
